1. Who We Are
Prime Earth Education is a federally registered Canadian nonprofit organization.
We respect the privacy of the people who visit our website, join PowerSeekers, participate in our activities, make purchases or contributions, subscribe to communications, or otherwise interact with Prime Earth.
This Privacy Policy explains what personal information we may collect, why we collect it, how we use and share it, and the choices available to you.
2. Information We May Collect
The information we collect depends on how you interact with Prime Earth. It may include:

your name, preferred name, email address, phone number, and mailing or residential location;

date of birth or age information where needed for PowerSeekers membership or other age-related requirements;

We aim to collect only information that is reasonably necessary for the purpose for which it is requested.
3. Why We Collect and Use Information
We may use personal information to:

process PowerSeekers registrations and administer memberships;

organize cohorts, orientation, virtual visits, activities, events, mentoring, and community participation;

communicate with members and, where applicable, their parents or legal guardians;

process payments, donations, contributions, and purchases;

fulfil and deliver merchandise orders;

We do not use personal information for unrelated purposes without appropriate consent or another lawful basis for doing so.
4. PowerSeekers Members and Guardians
PowerSeekers membership may require additional personal information because members participate in an ongoing community rather than simply visiting the website.
Depending on the circumstances, we may collect information such as a member's date of birth, contact information, location, participation information, and other information needed to administer their membership.
For members under 18, Prime Earth requires parent or legal guardian consent before membership can be processed. We also collect the guardian information needed to document that consent and communicate about important membership, consent, or safety matters.
Some PowerSeekers activities may require additional information, such as emergency contacts, accessibility needs, dietary restrictions, allergies, or other safety-related information. We will request this information when it is reasonably necessary for the activity involved.
5. Children and Young People
Prime Earth works with young people and takes particular care with information relating to minors.
Where parent or guardian consent is required for membership, activities, media use, or other participation, that consent is collected separately.
We do not publicly identify a minor through photographs, video, stories, testimonials, or other personal information without the appropriate consent.
6. Email Communications
We use email for different kinds of communication.
Some messages are necessary to respond to something you have requested or to administer a relationship with Prime Earth, such as membership registration, orientation, event information, purchases, or important PowerSeekers communications.
We may also send newsletters, fundraising messages, campaign updates, or other promotional communications where we have the appropriate consent or are otherwise permitted to do so.
Where required, promotional electronic messages include appropriate identification information and a functioning unsubscribe option.
Unsubscribing from promotional communications does not necessarily prevent Prime Earth from sending information required to administer an existing membership, registration, transaction, activity, or request.
7. Payments, Donations, Membership Dues, and Purchases
Prime Earth accepts payments through third-party payment and commerce services.
Depending on the transaction, this may include payments made through our website or through services such as Zeffy.
Payment providers may collect information needed to complete the transaction. Prime Earth generally does not receive or store full payment card numbers in its own records.
We may retain transaction records needed for bookkeeping, membership administration, order fulfilment, fraud prevention, or other legitimate organizational and legal purposes.
Prime Earth is not currently a registered charity and does not issue charitable tax receipts.
8. Cookies, Analytics, and Website Tracking
Our website and third-party services may use cookies and similar technologies to operate website features, understand how visitors use the site, measure website traffic and performance, and support advertising and outreach.
Prime Earth uses Wix Analytics and Google Analytics to understand website activity. We may also use advertising or measurement technologies such as the Meta Pixel.
We use a cookie-consent tool to give visitors choices about non-essential cookies and tracking technologies. Where required or available, you can accept, decline, or manage categories of cookies through the cookie settings on our website.
You can also control or delete cookies through your browser settings. Disabling some cookies may affect how parts of the website function.
9. Service Providers
Prime Earth uses outside services to help operate its website and activities.
These may include providers for:

payment processing;

online store transactions;

email and newsletter communications;

other administrative or technology services.
Current service providers include Wix, POWr, Zeffy, Google Analytics, Meta, Usercentrics, and Cyberimpact. We may change or add service providers as our technology and organizational needs change.
These companies have their own privacy and security practices and may process information on Prime Earth's behalf.
Some service providers may store or process information outside Canada. When information is processed in another jurisdiction, it may be subject to the laws of that jurisdiction.
10. When We Share Personal Information
Prime Earth does not sell or rent personal information or mailing lists.
We may disclose information:

to service providers that help us operate Prime Earth;

where necessary to process a transaction or fulfil a request;

to a venue, activity partner, service provider, or other person where limited information is reasonably necessary to support participation, accessibility, dietary needs, or safety;

We limit disclosure to what is reasonably necessary for the purpose involved.

11. Photos, Stories, and Public Sharing
Prime Earth may sometimes want to share photographs, video, participant stories, testimonials, or other material showing our work.
We do not treat participation itself as blanket permission to use someone's image or story publicly.
Where consent is required, we obtain that consent separately.
PowerSeekers membership terms do not automatically grant Prime Earth permission to use a member's image for public promotional purposes.
12. Protecting Personal Information
Prime Earth uses reasonable administrative, technical, and organizational safeguards appropriate to the type and sensitivity of the information we hold.
Access to personal information should be limited to people who reasonably need it for their work or responsibilities.
No website, online system, or method of storing information can be guaranteed to be completely secure, so we cannot promise absolute security.
13. How Long We Keep Information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected and for applicable legal, financial, insurance, safety, administrative, or record-keeping requirements.
When information is no longer reasonably required, it may be securely deleted, destroyed, or anonymized.
14. Accessing or Correcting Your Information
You may contact Prime Earth to ask about personal information we hold about you or to request that inaccurate information be corrected.
We may need to verify your identity before responding to a request.
Some information may need to be retained for legal, safety, financial, membership, or other legitimate organizational reasons even after a request is made.

Our website may contain links to websites or services operated by other organizations.
Prime Earth does not control those websites and is not responsible for their content, privacy practices, or security.
A link from Prime Earth's website does not necessarily mean that Prime Earth endorses the organization, service, or information provided there.

Prime Earth may update this Privacy Policy as our website, activities, technology, legal requirements, or privacy practices change.
The current version will be posted on this page with the date of the most recent update.
